Fresh Paint Studio — Kids’ Birthday Party Cancellation Policy
We know plans change. This policy helps us staff your event, prepare materials, and keep party times available for other families. By booking a party with Fresh Paint Studio, you agree to the terms below.
1) Deposit & Balance
- A non-refundable deposit is required to secure your date and time.
2) Cancellations (before the party date)
- 5+ days’ notice: No refunds. You may reschedule your party once at no additional charge within one month, or convert your party deposit to studio credit.
- 0–4 days’ notice: Considered a late cancellation. You may be charged a late cancellation fee of $50.
- No-shows: No credit or rescheduling
Tip: If you’re unsure that your guests can attend, please reschedule rather than cancel to keep your booking value.
3) Rescheduling
- 7+ days’ notice: One free reschedule within one month.
- Rescheduled dates are subject to availability; original package, inclusions, and pricing apply.
4) Guest Count Changes
- Final headcount is due 7 days prior so we can prepare materials.
- If more guests arrive on the day than confirmed, we’ll do our best to accommodate and will invoice for the difference if capacity allows.
- Last minute, reductions in guest count within four business days are not refundable.
5) Late Arrival
- Parties start and end at the scheduled times. Late arrivals may result in a shorter activity to respect the next booking; fees are not prorated.
6) Illness, Weather & Emergencies
- If the birthday child is ill or you experience a significant weather event/emergency, please contact us as soon as possible. We’re happy to reschedule once within one month; a rescheduling fee may be waived at our discretion.
- If Fresh Paint Studio must cancel due to an unforeseen studio issue, you may choose a full refund or reschedule at no cost.
7) Outside Food & Add-Ons
- Add-ons (e.g., bead bar, sprinkles bar, catering) cancelled within 72 hours of the party are non-refundable (materials and staffing are prepped in advance).
8) Behaviour & Damages
- A supervising adult from your group must remain on-site during your party at all times. We reserve the right to end activities early for safety reasons or disruptive behaviour.
10) How to Cancel or Reschedule
- In order to reschedule your party, send us a request in writing with your booking name, date, and time. Requests are processed during studio hours and are effective when confirmed in writing by Fresh Paint Studio.
